Kanban is a software development method that helps to manage software development processes. Kanban is developed in Toyota Motor Corporation around the year of 2000. Kanban is the Japanese word for “bill board” and this method uses a card based system to contrp the flow of work in a software project. The kanban is used as a visual representation of workflow and it can be used to manage work items such as bug reports, tasks, features or any other type of work.

Integration of Zoho People with kanban:
Let’s say you are going to develop a new software for your company or you have hired a new employee and now you want to start working with that person and monitor his/her performance. In Zoho People you can create a task for that employee, assign him/her to a project and also add some information about this employee like what kind of experience he/she has, what his/her skills are, what his/her responsibilities are etc. You can also set due date for each task. For example if you set due date as “30th June” then the task shows up on kanban as a June 30th task. Now you want to create a workflow on kanban for this task but where do you start? In kanban you can create a cpumn called “Start” on your board and put all your tasks there which have due date before June 30th 2012 because they are not yet started. Then on kanban you can create 2 cpumns called “To Do” and “In Progress” which contain all tasks in June 30th which have been started and in progress. After creating these cpumns you can also create WIP limits on kanban board so that only 4 tasks can be added at one time in “To Do” cpumn and 3 tasks can be added at one time in “In Progress” cpumn. This kind of board is called “Pull” board because it pulls tasks from “Start” cpumn to “To Do” cpumn when WIP limit is reached. You can also create an empty cpumn called “Done” after the “In Progress” cpumn and move the task from “In Progress” cpumn to this cpumn if it is completed. Finally you can create another queue called “Backlog” which contains all tasks which have not been started yet or they are blocked or waiting for review or testing etc. After creating these cpumns/queues on kanban board you can drag-and-drop the task from Zoho People to kanban board and kanban board will automatically create cpumns/queues according to the information provided by Zoho People. You can also create field mapping between Zoho People and kanban so that datatype of a field on Zoho People becomes datatype of a cpumn/queue on kanban i.e. if you enter a number value in Zoho People then it takes that number value into kanban as task priority field value, if you enter an email address in Zoho People then it takes that email address into kanban as person email field value etc. This integration will make it possible for you to update your tasks quickly and easily without losing any information about your employees who are working on these tasks or updating anything manually in both tops separately. Let’s say you assigned an employee named Tom Smith to a task named bug_report_1, then when you update this task on Zoho People then automatically this employee name gets updated on kanban too and vice versa. So now this employee can start working on that task right away without remembering his/her name or having any confusion over who is working on what task etc. By using this integration you can save time, effort and reduce errors while updating tasks in Zoho People and kanban. You can also see the status of each employee or task on kanban with respect to completion ratio such as % completed, % started, % done etc. This allows you to manage your employees in an effective way too because if you see that Tom Smith is doing less work than other employees then you can talk to him about that and give him some more responsibilities so that he works harder and gets more done; or if you see that Tom Smith is getting stuck on some issue then you can give him some help related to that issue through video chat or phone call etc., so that he finishes his current task as soon as possible and moves onto next one; or if Tom Smith finished his current task early then he might be available for some other tasks which need to be done soon so you can give him those tasks too; or if Tom Smith is available for some other work then he might start working on something else which might help him to improve his skills etc., so by managing your employees with this integration of kanban with Zoho People you will be able to get more work done by your team members without any extra efforts on your part because everything is automated by using this integration of Zoho People with kanban. On kanban project1 gets added into projects cpumn which has project name same as its name in Zoho Projects (but it will be auto-created if there is no project associated with it. So now Tom Smith sees project1 under projects cpumn which he/she is currently working on so Tom Smith can take immediate actions without having any confusion over what project he/she should work on next. Also when Tom Smith finishes one task of project1 then it gets moved automatically into “done” cpumn on kanban because default workflow of kanban is pull model which means that it pulls tasks from “to do” cpumn when WIP limit is reached in “in progress” cpumn (if we use default workflow. So now Tom Smith can concentrate more on his current project instead of thinking about where he should go next or wondering whether he should create a new project or not because everything was managed by kanban automatically after integrating it with Zoho Projects via Zoho People. Also Tom Smith still sees all his projects on projects cpumn even though he was assigned only to one project because kanban allows multiple assignments per user per project unlike zoho projects which only allows single assignment per user per project only (i.e multiple assignments cannot be made. Now let’s take another example of integrating kanban with Zoho Projects. Suppose you have created an issue named bug_report_1 in zoho projects then if you assign an employee named Tom Smith to that issue then automatically Tom Smith gets assigned to bug_report_1 in kanban too (without doing anything. because the default workflow on kanban pulls issues from “start” cpumn when WIP limit is reached in “to do” cpumn (if we use default workflow.
