Zoho Creator?

Zoho Creator is a web-based application, which enables you to create and manage your database in the cloud. The databases can be created or accessed from any device such as mobile phones, tablets, laptops or desktops.

Zoho Creator offers a wide range of tops for designing forms that include tables, lists, grids, and charts. You can use it to enter text and data into the forms and append them with images and video files. Zoho Creator also offers a variety of action buttons that include print, export, email, save and delete.

You can add multiple users to your database, and each user can access either read-only or read-write mode. Each record has an 'edit' icon which allows you to edit the record. You can also add new records by using the 'add' icon.

Zoho Creator is available in three subscription plans. Basic, Standard and Premium. The Basic plan is free, while the Standard plan costs $9 per month. The premium version costs $19 per month. All the plans offer unlimited users, unlimited storage space and unlimited features.

Integration of Zoho Creator and QuickBooks Online

Integration of Zoho Creator and QuickBooks Online enables you to share data between the two systems so that you can easily manage all the information related to your business in one place. This integration also helps you in cutting down on paperwork by eliminating duplicate data entry in both the programs. Integration of these two applications also helps you in improving your workflows as they provide a uniform interface for both the applications. It also enables you to cplaborate with other people who are working on your projects.

Since integration requires exchanging data between the two systems, it is important to understand how data exchange occurs between Zoho Creator and QuickBooks Online. Fplowing are some of the ways by which data passes between these two applications:

  • Data imports/exports. If you want to use data from QuickBooks Online in Zoho Creator, then you can import it. Similarly, if you want to use data from Zoho Creator in QuickBooks Online, then you can export it. This method works well if you are only interested in few records from QuickBooks Online or Zoho Creator. However, if you need a large amount of data from either system then this method will not be useful as it is not very efficient. For example, if you need to copy data from QuickBooks Online into Zoho Creator then there will be a lot of duplicates as both the systems will try to import their respective records into their system. Moreover, each system will create its own duplicate records for the same set of records. This will cause confusion if duplicate records exist in both systems because a user cannot tell which record is up to date or which record contains correct information. Therefore, it is recommended that you use batch updates to get rid of duplicate records and avoid confusion regarding duplicate data.
  • Batch updates. This is another way of copying data from one system into the other system without creating duplicates. You can copy all the records from a particular category (for example, all customers. or all the records from a particular record type (for example, all invoices. Batch updating helps avoid duplication problems when copying data between Zoho Creator and QuickBooks Online because there is only one record for each customer/invoice in either system after batch updates are completed. This method also saves time as you do not have to make separate changes for each record in each system. Time saved can be put to better use by focusing on other activities like marketing or growing your business instead of wasting time on keeping track of duplicate records in different systems. However, this method also has its own drawbacks. firstly, it requires a lot of manual effort to complete batch updates; secondly, batch updates need to be done frequently because changes happen quickly in today's fast-paced world and hence batch updates become tedious after some time; thirdly, this method does not allow users to export data selectively; and fourthly, this method does not allow users to enter data selectively in a Zoho Creator form and then copy this data into QuickBooks Online because this type of transaction cannot be done by batch updates alone. This last drawback can be overcome by using the other methods discussed below (i. integration API & (ii. Zapier integration.
  • Integration API. If you want to access QuickBooks Online or Zoho Creator programmatically then integration API is what you need. This method supports selective exporting/importing of data depending upon your requirements without having to go through a tedious process of doing batch updates manually every time there are changes in your business processes or workflow. For example, you can use this method to copy invoices from QuickBooks Online into Zoho Creator as fplows:

  • Create an Invoice template in Zoho Creator which contains fields corresponding to the invoice fields of QuickBooks Online like date created, date approved, amount and description etc.; b. Add an action button on the 'Edit' form of Zoho Creator that imports records from QuickBooks Online; c. Create an invoice record in Zoho Creator and fill in necessary details like date created etc.; d. On clicking 'Export' action button on the 'Edit' form of Zoho Creator, fetch all invoices exported from QuickBooks Online; e. Export invoice details into Invoice template by mapping appropriate invoice fields; f. Save the invoice details; g. Import invoice details from imported invoices; h. After importing invoice details into the Invoice template click 'Save' action button to save changes made to the invoice template; i. Invoice details will now appear in formatted view; j. Go back to 'Edit' screen for Invoice template; k. Click 'Email' action button to send email notifications about newly created invoice from Invoice template; l. Go back to main screen and click 'Print' action button to print invoice on paper; m. Go back to Invoice list screen and click 'Delete' action button to delete Invoice template; n. Click 'View' action button on Invoice template screen and check whether email notifications were sent successfully and whether Invoice was printed on paper successfully; o. Finally click 'Done' action button on Invoice template screen to close Invoice template window; p. Go back to main screen of Zoho Creator and click 'Exit' action button; q. Check whether Invoice was generated successfully by clicking 'View' action button on main screen of Zoho Creator; r. If everything is OK then click 'Done' action button on main screen of Zoho Creator; s. Close browser window; t. Repeat steps 1 - 8 periodically whenever there are changes made in QuickBooks Online database; u. This way you can keep your invoice details updated regularly without having to worry about duplication issues; v. If errors occur during this process then you will get automatic error messages that will help troubleshoot the problem immediately instead of spending hours trying to troubleshoot problems manually as was required before using integration API; w. You do not have to manually check whether emails were sent successfully or whether invoices were printed successfully because this process will also generate error messages if something goes wrong; x. In case you want to delete all invoices that were created from existing invoices then you can simply go back to main screen of Zoho Creator and click 'Delete' action button on main screen; y. A confirmation message box will appear asking whether you want to delete all invoices created from imported invoices; z. Click 'Yes'; a confirmation message box will appear confirming whether you want to delete selected invoices; b. c. Click 'Yes'; d.
