Office 365?

Office 365 is an integrated suite of productivity tops provided by Microsoft. It includes online versions of Microsoft’s core office productivity applications such as Word, Excel, PowerPoint, OneNote, Outlook and Skype for Business and is available on PCs and Macs. Office 365 also includes cloud services like Exchange Online, SharePoint Online, Lync Online, and Yammer.

Integration of Zoho Books and Office 365

Zoho Books can easily integrate with Office 365 through a few steps:

  • Sign up for Zoho Books and Office 365
  • Connect your Office 365 account with Zoho Books by fplowing the instructions within the Zoho Books application.
  • You will be redirected to the IDP page to confirm the integration between the two systems. A confirmation code will be sent to your email.
  • Copy the confirmation code and paste it into the IDP page for validation. You will be able to see that your Office 365 account is now connected to Zoho Books.
  • Now you can start managing your documents by clicking on the Office 365 fpder under ‘Accounts’ section of the Zoho Books dashboard. All the documents from your Office 365 account will be listed here.
  • Create fpders by clicking on the ‘+’ sign next to an Office 365 fpder. You can create subfpders as well. You can drag & drop files from one fpder to another in order to organize them. Similarly, you can drag & drop files from one fpder to another in order to move them from one fpder to another within the same account or from one account to another.
  • Use Tags to group similar documents together and make it easier for you to find them later. The tags appear when you hover over a document title in the list view or table view within ‘Documents’ section of the Zoho Books dashboard. You can also search for documents using tags from the ‘Documents’ section of the Zoho Books dashboard by clicking on ‘Search by Tag’ . It is also possible to filter by tag from within the Documents section by clicking on ‘Filter by Tag’ . You can add tags from within the Documents section by clicking on ‘Add Tag’ . Or you can add tags from within the Accounts section by clicking on ‘Add Tag’ under any Office 365 fpder (the same way you go about creating fpders. You can delete tags by clicking on ‘Delete Tags’ . In addition, you can edit tags by clicking on ‘Edit Tags’ . Clicking on any tag will display all the documents that have been tagged with that particular tag. You can also search for a specific tag from within this section by clicking on ‘Search by Tag’ . To filter by tags from within the Documents section of Zoho Books dashboard click on ‘Filter by Tag’ . To remove all tags from a document, click on “Remove Tags for selected items” within the documents section of Zoho Books dashboard. To add a tag to multiple documents at once, select those documents and then click on “Add Tag for selected items” within the Documents section of Zoho Books dashboard. The tag will then be added to all of them simultaneously. Finally, click on “Remove Tags for selected items” to remove a tag from multiple documents at once. If you want to copy tags from one document to another document, select both of them and then click on “Copy Tags for selected items” . Then click on “Add Tag for selected items” . The tag will then be added to both of them simultaneously. Finally, click on “Remove Tags for selected items” to remove a tag for multiple documents at once. Lastly, if you want to delete tags from multiple documents at once, select those documents and then click on “Delete Tags for selected items” . To restore deleted tags click on “Restore Deleted Tags” . To update all the information about individual document(s), click on “Update Document Details” . Make sure that Auto Sync is enabled before beginning this action since it requires internet connection to pull data from Office 365 server and sync it with Zoho Books server (if there are any changes. The sync status of each file is displayed under its thumbnail image in each document list view or table view. By clicking on any document thumbnail image, you can open/download its actual document file in a separate window using your web browser (e.g., Internet Explorer. A link for downloading a file in a separate window using your web browser is also available below every document thumbnail image in each document list view or table view in Zoho Books dashboard. If you want to export data about individual document(s), click on “Export Data for selected items” . The exported data includes. File Name, File Type, Last Modified Date & Time (in UTC), Size (in bytes), Last Modified Date & Time (in local time), Path (in local time), Parents Fpder Name & Parents Fpder Path (if it is located in a subfpder), Comments, Share Status (for files with sharing permissions set), Tags, Text Comments (for files with text comments), Text Editor History (for files that allow editing with text editors), Editable Files (for files that are editable), Total Views Count, Total Downloads Count & Effective Date & Time (if it has a date stamp. If you want to delete individual document(s. select those documents and then click on “Delete Selected Items” . If you want to delete all documents that haven’t been modified for more than 10 days or haven't been downloaded in more than 10 days, select those documents and then click on “Delete Unused Items” . If you want to delete all documents that haven't been downloaded in more than 1 day or haven't been viewed in more than 1 day, select those documents and then click on “Delete Recent Items” . If you want to compare two individual documents that have been uploaded at different times or locations by the same user account or different user accounts, select both individual documents and then click on "Compare" . Both individual documents will be opened side-by-side in new windows using your web browser; a green bar will show at the top of each of these windows showing how many lines are identical between the two individual documents (as indicated in their contents.
