Integration of Pipedrive and MongoDB

Pipedrive is a sales pipeline management software that helps small businesses to manage their sales pipelines. Sales pipeline is a term used for the number of prospects and leads in the sales process over a period of time. Pipedrive is developed by Pipedrive Ltd, which is a company based in Finland. Pipedrive has been founded in 2009 and currently has more than 300 employees. Pipedrive is available as a cloud-based software service and it can also be downloaded and installed on the customer’s infrastructure. In this article I will be focusing on the integration between the Pipedrive software and MongoDB database.

MongoDB is an open source document database that stores data in JSON documents. MongoDB is created by 10gen Inc. MongoDB is free to use for commercial purpose. The latest stable version of MongoDB is 3.0.6, but from version 3.2 onwards, MongoDB will be operating under the server-side JavaScript environment called Node.js.

The main goal of the integration of these two applications is to add Pipedrive’s data to a database that can be queried in real time. Pipedrive uses Salesforce.com for its sales pipeline management needs, but it does not have the required features to support Pipedrive’s business needs. For example, not all the data stored in Salesforce can be accessed via API, and there are no storage limits for Salesforce users. Additionally, Salesforce can only store a limited amount of data, unlike MongoDB. This is why Pipedrive was looking for an alternative for storage of its data. According to the article Comparison of NoSQL Databases, MongoDB seemed to be the best option for the needs of Pipedrive. It was decided that the data would be migrated from Salesforce to MongoDB via a series of scheduled migrations over several months. The migration process started on March 23rd, 2015 and was completed in June 2015. After migrating all the data from Salesforce to MongoDB, Pipedrive had a total of 13 million records in MongoDB, whereas before migrating any data, it had 2 million records in Salesforce. So at the end of the migration, Pipedrive had 15 million records in MongoDB and 2 million in Salesforce.

While migrating data from Salesforce to MongoDB, some problems occurred. The biggest problem was creating a new record in MongoDB because the same record could already exist in Salesforce and this would lead to duplicate records. Another problem was how to handle changes made to Salesforce records after they were migrated to MongoDB, such as adding a new field or updating an existing field. Also, during the migration processes errors were thrown sometimes, for example when migrating a large amount of data in one go. To prevent errors during migration, it was recommended to split the migration process into multiple smaller migrations and spread them across several weeks or months.

In conclusion, migrating from Salesforce to MongoDB provided Pipedrive with many advantages like having unlimited storage space, no storage limits per user and having access to all the data in all its forms through APIs as well as being able to store uncountable amounts of records as opposed to Salesforce’s limited storage capacity and the need for manual labor by employees of Pipedrive such as copy-pasting data from Salesforce to Pipedrive every time something was changed in Salesforce instead of doing this automatically via an API call. Because of these advantages, Pipedrive decided to migrate all its data from Salesforce to MongoDB. The migration happened successfully and now all the data is stored in MongoDB so that it can be queried in real time and easily accessed by anyone who needs it.
