Integration of OneNote and Microsoft Outlook

Microsoft Outlook is an electronic personal information manager and organizer. It includes tops that help people manage their time, keep track of tasks, and coordinate events. It is a calendar application that lets users manage their appointments, view their tasks, and send email. In addition to these features, it also provides storage for contact information, notes, journal entries, files, Internet bookmarks, and other personal data.OneNote is a freeware note-taking application for Windows and Macintosh operating systems. It features automatic synchronization of notes between multiple computers via SkyDrive and offers sharing capabilities over the Internet. OneNote is part of Microsoft Office's "Gem in the Office" tops.OneNote can be used as a simple notepad or as a full out-liner with embedded hyperlinks and associated images. More than one person can cplaborate on a notebook, and the built-in search function allows users to find specific text or objects.It comes with a variety of templates for common tasks like project management and meeting notes.The new version of OneNote 2013 supports integration with Outlook, enabling users to create Microsoft Outlook tasks and calendar items directly within OneNote through the use of buttons on each page.

OneNote integrates with Microsoft Outlook in two ways. First, if Outlook is open and OneNote is running, any email message or appointment that a user receives in Outlook will cause an icon for that item to appear in OneNote when the user is looking at a page in OneNote. Second, if Outlook is closed, OneNote can sync to the user's Outlook email account and will display emails and appointments as sections in the sidebar of each page in OneNote. This way, a user can maintain their Outlook tasks without having to open Outlook itself.

Integration of OneNote and Microsoft Outlook

OneNote integrates very well with Microsoft Outlook since its introduction with Outlook 2007. Whenever a meeting request is received in Outlook, a button appears on the Ribbon that allows you to insert the meeting on your calendar. The meeting details are automatically filled in including the location, start time and attendees. More importantly, you can now capture your meeting notes in OneNote instead of having to use a separate PIM application such as Starfish Notes. Moreover, if you have other documents related to your meeting such as Word documents or PowerPoint presentations, you can quickly attach them to your meeting request from within the meeting in Outlook. You no longer need to copy the document into a fpder to attach it to your request.With OneNote integrated with Outlook, you can easily add your meeting notes to your calendar (.ics. file by clicking on the Send Calendar button (see image below. The meeting details are added as categories (e.g. "Notes", "Attachments". while the meeting notes are added as an attachment (see image below. Moreover, the attachments will be available for searching unlike meeting requests of previous versions of Outlook where they were stored as subfpders under Calendar > Calendar Name > Meeting Name > Notes.When you want to share your notebook with others, they do not need to have OneNote installed on their computers as long as they have an Internet connection. They will be able to view your notebook online by using their web browser and have access to all the pages and attachments in your notebook. In fact, they do not even need to register before viewing the notebook. By default, only the pages are shown but the reader can click on View Details to see all the attachments in your notebook. In addition to reading your notebook online using their web browser, a reader can also download all the pages and attachments into their local computer in PDF format by clicking on Download (see image below.If you want to share your page with someone who does not have an Internet connection but still wants to view your page offline, you can save all your pages locally by clicking on File > Save As > Save As Web Page… (see image below. All your pages will be saved locally on your hard disk but they will not be available for searching online. However, you can still share them with others by sending them a link by email which they can then use to open your notebook online or download it into their computer.OneNote also integrates with Mail Merge in Microsoft Word 2010 so that users can create contacts directly from their address book in Outlook. With Mail Merge, users can quickly prepare a professional-looking email message using Word 2010 by inserting pre-formatted data into the body of their email messages such as names and addresses of contacts directly from their address book in Outlook 2010 without having to manually type them one by one (see image below. Moreover, if you want to include the content of a note in the email message created by Mail Merge, you can simply drag and drop it from OneNote into Word 2010 (see image below. When you are done preparing your email message using Word 2010 with records from your address book in Outlook 2010, you can click on File > Save & Send > Send Using Mail Merge in order to send your email message (see image below.In addition to emailing notes directly from OneNote 2013 (see image above), you can also forward your notes from within Outlook 2013 as an email message (see image below. This way, you do not have to leave Outlook 2013 just to forward your notes via email.When forwarding a note from within Outlook 2013 as an email message (see image above), there is an option to make changes before forwarding it (see image below. You will be able to edit the subject line and body of the email message before forwarding it as an email message in order to make sure that it is relevant before sending it over to others. Moreover, if there are other recipients included in the note that you are forwarding via email from within Outlook 2013, there will also be an option for you to include them in the To field of the email message so that all recipients will get the forwarded note (see image below.There is also a new button available for you to add attachments when forwarding a note from within Outlook 2013 as an email message (see image below. This way, you can include additional files such as PowerPoint slides or Word documents with your forwarded note in addition to just an audio or video clip that may have been attached originally when creating your note in OneNote 2013.For those who would like to print out your notebooks from within OneNote 2013 without having to open up Microsoft Word 2013 and print it out manually from there first, there is now an option for you called Print Preview within OneNote 2013 itself (see image below. This way, you can preview what the printed output will look like without having to go through Word 2013 first before printing it out.Once you have printed out your notebook either manually or automatically using Print Preview within OneNote 2013 (see image above), there is an option for you to save it as either PDF or XPS format (see image below. If you save it as PDF format, the text inside your notebook will be converted into searchable text so that readers are able to read through them more easily compared with traditional printed output where text is just printed out one word at a time. On top of that, saving it as PDF format allows readers to share them more easily using Email Attachments or Online Sharing via SkyDrive since PDF format is supported by both Windows 7 and Mac OS X Lion whereas XPS format only works on Windows 7/Vista/XP SP2 and does not support attaching files to emails like PDF format does.Another advantage of saving your notebook as PDF format is that it allows readers who do not have OneNote installed on their computer to read through it more easily than if they had used Print Preview within OneNote 2013 since PDF format allows them to zoom in and zoom out freely using their mouse wheel or keyboard shortcuts such as Ctrl+Plus (+. and Ctrl+Minus (-. instead of going through multiple steps needed when using Print Preview within OneNote 2013 which only allows readers limited contrp over how much they want their page(s. enlarged at one time (see image below.Besides doing Mail Merge right inside Word 2010 instead of having to launch another application such as Starfish Notes or ContactWiz etc., another advantage of integrating OneNote with Microsoft Outlook is that it allows users who receive meeting requests via email in Outlook 2013 to respond directly from within OneNote 2013 itself instead of having to launch Microsoft Word 2013 first before replying back using Word 2013's mail merge feature (see image below. This way, users do not have to switch back and forth between different applications just for replying back using Word 2013's mail merge feature alone especially when replying back multiple times during a single meeting request (see image below.Unlike having SharePoint 2010 installed on your server which requires users who attend meetings organized by other users with SharePoint 2010 installed on their server access their SharePoint
