Integration of Office 365 and Cisco® Webex Teams

What is Office 365? As an extension of the Microsoft® Office suite, Office 365 allows users to edit documents from anywhere. The software, available on a subscription basis, allows for editing, viewing, and sharing of Word, Excel®, PowerPoint®, and OneNote® files.Office 365 also includes email with 1 TB of storage and advanced cplaboration features through Outlook® (e.g., calendars, notes, and tasks.What is Cisco® Webex Teams? Integration of Office 365 and Cisco® Webex Teams

Cisco® Webex Teams can be integrated with Office 365 by using Microsoft® Flow to automate your business processes. Microsoft® Flow is a service from Microsoft® that helps you create automated workflows between applications and services. A workflow is an automated sequence of steps that are triggered by an event or a change in state. In this example, we have configured a workflow that automatically creates a new meeting room when a resource account is created in Azure AD.Flow ConfigurationThe fplowing screenshot shows the configuration screen for the workflow:

As noted in the above screenshot, this workflow requires three triggers:When any resource account is created in Azure ADWhen any meeting room is created in Office 365When any meeting room is updated in Office 365

Cisco® Webex Teams IntegrationOnce Microsoft® Flow is configured, we can integrate Cisco® Webex Teams with Office 365. To do so, we need to add two webhook endpoints to Cisco® Webex Teams. one for creating a new resource account in Azure AD when a meeting room is created in Office 365, and another when a meeting room is updated in Office 365. We can do this by clicking on Add Endpoint > Add Webhook in the upper right corner of Cisco® Webex Teams.

In the above screenshot, we have added two webhook endpoints. one for events related to meeting rooms in Office 365, and another for creating new resource accounts in Azure AD.The first endpoint accepts incoming requests only from the tenant domain of office365demo.onmicrosoft.com. The second endpoint accepts incoming requests from all domains. Note that when an endpoint is created, it will not start receiving events until it is enabled. Clicking on Enable at any time will start receiving events immediately.

User Experience – Creating New Resource Accounts in Azure AD When Meeting Rooms Are Created in Office 365Once the flow has been set up and enabled, the user experience will be as fplows:

A meeting room is created in Office 365. This triggers Microsoft® Flow to send a request to Cisco® Webex Teams to create a new resource account in Azure AD.

Cisco® Webex Teams will then display this screen to the user:

The user can create a resource account by providing values for the fplowing fields:

  • Name. Name of the resource account
  • Description. Description of the resource account
  • Location. Location of the resource account (e.g., Building 1)

Once the resource account is created successfully, Cisco® Webex Teams will display a message saying that the account has been created.

User Experience – Update Meeting Rooms in Office 365 When Resource Accounts Are Updated in Azure AD Once the flow has been set up and enabled, the user experience will be as fplows:

A resource account in Azure AD is updated (e.g., changed location. This triggers Microsoft® Flow to send a request to Cisco® Webex Teams to update a meeting room corresponding to the updated resource account in Office 365.

Cisco® Webex Teams will then display this screen to the user:

The user can update the meeting room by providing values for the fplowing fields:

  • Name. Name of the meeting room

  • Description. Description of the meeting room

  • Email address. Email address for notifications about upcoming meetings in this meeting room

    Once the meeting room is updated successfully, Cisco® Webex Teams will display a message saying that the meeting room has been updated.

Integration between Office 365 and Cisco® Webex Teams provides several benefits by improving the effectiveness of communication and cplaboration in workplaces. Examples include automatic creation of new resource accounts in Azure AD when meeting rooms are created in Office 365; or automatic updating of meeting rooms when resource accounts are updated in Azure AD. Users can also create new resource accounts and update existing ones manually if they prefer to do so instead of waiting for events to occur.The Cisco® Webex Teams integration with Microsoft® Flow provides additional possibilities for automating business processes with webhooks for triggering actions based on events from other applications.
