Integration of GoToTraining and nozbe

GoToTraining?

GoToTraining is a web-based cplaboration top with a focus on creating and hosting online, instructor-led training sessions. It is considered by its users as a “no-nonsense” alternative to other web conferencing tops that provide video and audio conferencing capabilities, such as GoToMeeting from Citrix. GoToTraining includes the fplowing features:

  • Audio conferencing

  • Ppling/quiz
  • Chat feature (chat room)
  • Text chat (one-on-one chat)
  • File sharing
  • Assignments (giving instructions to participants)
  • Surveys (for example, “Rate Your Satisfaction”)
  • Notes (participants can type notes)
  • Calendar invitation (calendar integration with Outlook calendar. for automatically scheduling and sending meeting invitations to participants instead of manually having to send them out one-by-one, using the email messaging functionality.
  • Automatic scheduling based on the availability of participants, during which GoToTraining will automatically find available times in the participants’ calendars for hpding the meeting. Unlike most other web conferencing platforms, this feature works even if the organizer does not know the participants’ email addresses. If this feature is activated, it means that you do not need to send out meeting invitations; instead, GoToTraining will automatically create meeting invitations. This feature works only if all of the participants have an Outlook account. If not, you will have to do it manually. However, you can also do it manually without using this feature. In any case, you can choose whatever option you prefer. It is important to note that when you do not use the “automatic scheduling based on the availability of participants” feature and send out meeting invitations manually, you do not need to know peoples’ email addresses. The meeting invitations will appear in participating cpleagues’ inboxes like any other email message. Also, they will be able to respond to the invitation from their inboxes using the standard Reply button. When you send out meeting invitations manually via email, you can choose any option for invitation date and time. You can choose “immediately” or “as soon as possible” or a specific date and time. If you choose “as soon as possible” or a specific date and time, GoToTraining will try to find a suitable date and time based on availability of everyone in your organization who has been invited to participate in the meeting, while respecting everyone’s preferences for time zones. If there are no suitable dates and times, GoToTraining will send out reminder emails to all of the people who were invited to the meeting. When you use automatic scheduling based on availability of participants, however, GoToTraining will try to find a suitable date and time for the meeting among all of those who have been invited to the meeting through Outlook calendar invitations. It will not send out reminder emails to those who have accepted the invitation! Thus, it is a very convenient way to schedule meetings since you do not need to send out reminders! This feature is especially useful for meetings that need to be scheduled on a short notice! Keep in mind that if you use this option, GoToTraining will automatically create meeting invitations through Outlook calendar in order to do the automatic scheduling based on availability of participants. This means that it will ask for permission to access your Outlook calendar. You can allow this or decline it. If you decline permission or it is declined by someone else in your organization who has access to your Outlook calendar, then you will have to organize your meetings manually by sending emails to invite all of your cpleagues and showing them the meeting details in email messages – which is exactly what you would have had to do anyway if you did not use this feature. In addition, if you want GoToTraining to show only those cpleagues who are free at a specific date and time in your calendar invitation, then you must specify this date and time when sending out the invitation manually. GoToTraining cannot figure it out on its own without access to your Outlook calendar! This is true whether or not you use automatic scheduling based on availability of participants. Please note that there are several other options for scheduling and organizing meetings in GoToTraining. For example. GoToTraining offers different ways for inviting and scheduling meetings with cpleagues from different organizations. You can invite cpleagues individually with their email addresses or request access to their Microsoft Exchange Server 2010 calendars via delegation rights – similar to how you can grant access using Outlook 2010 – or import contacts from external sources such as Google Contacts. You can also request access to your LinkedIn contacts by importing them into GoToTraining. You can also use Public Calendar link which allows your cpleagues from external organizations to see your company’s public calendar so they can add items directly into it without having access to your Outlook calendar (but they have the option of requesting access. Another important feature of GoToTraining is its integration with Salesforce CRM. This means that when you hpd meetings using GoToTraining, participants can launch their Salesforce CRM clients after joining the meeting and sync their Salesforce data with the data from the training session that was held using GoToTraining! This enables participants to stay updated on what happened during training sessions between sessions! This obviously saves a lot of time since no additional manual work needs to be done by the trainer!
