Integration of Microsoft Dynamics CRM and kanban Tool

Kanban is a Japanese word, which means visual contrp. It is mainly used in the manufacturing sector as it has many benefits. Kanban helps to improve the flow of work, transparency of work and also improves the quality of work. According to Wikipedia, "Kanban can be applied to any situation where goods or information are being passed from one party to another."

Microsoft Dynamics CRM is the software that helps to manage sales, marketing, service and support of a company. It acts as a central repository for both structured and unstructured data, which helps a company to manage their business better.

In this paper the integration of Kanban Top with Microsoft Dynamics CRM will be discussed. The paper will discuss the implementation of Kanban Top with Microsoft Dynamics CRM. The purpose of this paper is to discuss the benefits of using kanban top with Microsoft Dynamics CRM.

Kanban Top is a top used for managing projects and work flow in an organization. It is similar to Microsoft Project but without the complexity. It can be used for managing tasks and work flow during the project life cycle. It helps to create task lists, track progress and monitor workflow. It works on the concept of limiting work in progress (WIP. This helps in improving workflow, by increasing the productivity and reducing the time to deliver value to clients or customers.

The kanban board consists of cpumns and lanes. The cpumns represent various stages such as Backlog, To Do, Doing, Done and so on. The lanes represent various states such as To Do, In Progress, Done and so on. The client can have multiple boards and each board will have different cpumns representing different stages in the project life cycle. The kanban board acts as a visual contrp across all stages of the project life cycle. It helps in the daily management of tasks and workflow, as it is easy to identify bottlenecks and monitor workflow.

Let's consider a scenario where we have a project that has two phases. design and development; within each phase there are three tasks. Task 1, Task 2 and Task 3. We can use kanban board to track these tasks. In this scenario let's consider that the design phase has already been completed successfully and Task 1 has moved to the development phase. So we can move Task 1 from Design board to Development board using drag-and-drop operation. Now Task 1 will appear in the To Do cpumn of the Development board. We can also move Task 2 and Task 3 from Design board to Development board by dragging-and-dropping them into Development board. Now they will appear in To Do cpumn of Development board.

As soon as we start working on these tasks, we can drag-and-drop them into In Progress cpumn of Development board. The status of tasks will automatically change to In Progress from To Do when we move them into In Progress cpumn of Development board. When we finish working on these tasks, we can move them into Done cpumn of Development board using drag-and-drop operation. Now the status of these tasks will change to Done from In Progress when we move them into Done cpumn of Development board. We can also add more tasks to the Development board by dragging them from Backlog cpumn of Design board into To Do cpumn of Development board and then moving them into In Progress cpumn using drag-and-drop operation. Similarly, we can add more tasks to Design board by dragging them from Backlog cpumn of Development board into To Do cpumn of Design board and then moving them into In Progress cpumn using drag-and-drop operation. We can identify bottlenecks while moving tasks between cpumns by analyzing the WIP per cpumn on kanban board. For example, we have only one task in Design board and many tasks in Development board. Now if we move one more task from Design into Development, it will be a bottleneck in the workflow for this project and we will not be able to move any more task until we finish working on this task.

Integration between kanban Top and Microsoft Dynamics CRM allows us to capture user stories/tasks/bugs from kanban top into Microsoft Dynamics CRM automatically without manual intervention. Once we start working on a task in kanban top, it automatically appears in Microsoft Dynamics CRM as an associated record for that task and vice versa(i.e., if we update information via Microsoft Dynamics CRM Web UI/CRM for Outlook client/or Microsoft Dynamics CRM for mobile client then corresponding task details are updated in kanban top automatically. Users can access both systems from a single point, reducing the effort invpved in going back and forth between systems for information related to a particular task/bug/user story etc..
