Integration of Autotask and Cliniko

Autotask?

Autotask is an online management spution for IT service providers. It provides a single dashboard which allows you to manage your business from one place. It also has a feature called AutoStat, which can be used to analyse your scheduling and invoicing information. You can even integrate it with the payrpl software from Paychex.

Cliniko?

Cliniko is a web-based software for booking appointments and managing your medical practice. Patients can book through the app, website or by phone. It is a convenient way to schedule appointments and manage information about your patients. Cliniko provides a detailed patient profile page where you can enter as much medical history as you want. Cliniko also offers a comprehensive dashboard to track income and expenditures.

Integration of Autotask and Cliniko

In this section, I will outlay how you can integrate Autotask and Cliniko. The fplowing steps will guide you through the integration process:

Step 1. Sign up for a free trial of Autotask and Cliniko at www.autotask.com and www.cliniko.com respectively.

Step 2. Create a user account for Cliniko on Autotask. You can do that by clicking ‘Add Users’ on your Autotask dashboard and then adding cliniko as a new user.

Step 3. Add the Cliniko user id to Doctor’s Details section in Autotask. This can be done by clicking ‘Manage Users’ on the Autotask dashboard and then searching for Cliniko under ‘New User’ and then clicking ‘Edit’. Then click ‘Enter ID’ and enter the user id of your Cliniko account.

Step 4. Enter the user profile information of the Cliniko user in Autotask by clicking ‘Manage Users’ on the Autotask dashboard and then searching for Cliniko under ‘New User’ and then clicking ‘Edit’. Then click ‘Enter Details’ and enter the information as required.

Step 5. Add the Cliniko user as an administrator in Autotask by clicking ‘Manage Users’ on the Autotask dashboard and then searching for Cliniko under ‘New User’ and then clicking ‘Edit’. Then click ‘Make Admin’ and then click ‘Yes’ to confirm that you want to make this user an administrator in Autotask.

Step 6. Next you need to add Cliniko as a third party application in Autotask by clicking 'Third Party Integrations' in the left navigation pane of the Autotask dashboard, you can see there are two tabs; One named 'Connections' for setting up connections with cloud applications like Salesforce, SugarCRM etc. And another tab named 'Endpoint' for setting up connections with SaaS applications like Zoho, Salesforce etc. Click the 'Endpoint' tab in the left navigation pane of your Autotask dashboard, then click 'Add Endpoint'. A pop-up window will appear which will ask you to name your endpoint. Give it any name you like, but make sure it is unique. It's best to use something descriptive so that it's easy for you to remember later on when you try to connect the two together. For this integration, we will name our endpoint 'Cliniko'. Next you will be asked to enter an 'API Key' for this endpoint, just leave it blank because we don't have an API key for Cliniko yet. Keep in mind that if you don't have an API key, you won't be able to complete steps 6 through 11 for this integration which require an API key. Once done, click 'Save' at the bottom of your pop-up window. Note that if you want to be able to connect both services later on, make sure you give them different names, otherwise they will get related automatically which means you will have to delete one of them manually if you ever want to go back on this configuration later on. On your next screen, enter 'Web Service' in the field labelled 'Type', then click 'JSON' on the right side of that field after which you can select 'OK' at the bottom of your screen which will open up a pop-up window asking for an API key of your Cliniko account once again. However this time, you won't need to leave it blank because we have already created an API key of our own earlier which we can use here instead by simply copying it over to this box. Once done, click 'OK' at the bottom of your pop-up window. Next enter 'Enable Integration' in the next field labeled 'Integration Status', then click 'OK' at the bottom of your screen after which you should see some information about your new connection appear in the right-hand sidebar on your screen including your Cliniko account ID which we will use later on when we configure our Cliniko account in Cliniko itself in order to connect it with our Autotask account. We now need to return back to our Cliniko account and create an API Key in order to enable the integration in Autotask later on in order for it to work properly, for this we need to navigate to Settings > Integrations > New Integration > App Integration > Web Services > Create Key where we will copy the text shown in the screenshot above (starting with SA... . and paste it into the text box provided in Cliniko along with our server URL (in our case its https://cpcprdapp1australia.cloudapp.net . and then click Save Integration . Now we need to configure our App Integration by clicking Manage Apps and then clicking App Integration Settings and then Advanced Settings . From here we need to provide a Base URL which is similar to our server URL (we used https://cpcprdapp1australia.cloudapp.net . but without https:// , so instead of https:// we just type http:// . Then we need to select Redirect URLs from the drop down menu next to Base URL where we select /bookings . Then we need to copy and paste our API key which we created earlier into the box labeled API Key . Then we need to copy and paste our Secret Key into the box labeled Secret Key . Finally we need to copy and paste our Callback URL into the box labeled Callback URL . Once done, click Apply Changes which will redirect us back to our Cliniko dashboard where we need to click Enable Integration . Finally we need to navigate back to our Autotask dashboard where we need to click Retrieve Account info from third-party apps under Tops & Utilities , then click Retrieve from Clients Account Info where we select Cliniko from the drop down list after which we will be redirected back to our Autotask dashboard where we need to click Save Changes at the bottom of our screen after which we will be returned back to our Cliniko dashboard where we need to click Connect & Save Profile . Now that all of this is done, it's time for us to test whether or not everything works properly by trying to book a new appointment from within our Autotask account so click New Appointment from within your existing Appointment Booking window from within your Autotask dashboard after which you should see a popup window showing up asking if you would like to book using Clikio's Online Appointment Maker? where if you click Yes , it will open up another popup asking you what clinician would like to book now? where you can either select yourself or any other clinician who has access tp Cliniko within their account too (you would know they have access if their profiles show up with a checkmark. If this works correctly, then congratulations because it means that everything works properly! If not, try rebooting both your Autotask and Cliniko accounts before trying again because sometimes they might not be able to communicate with each other upon initial set up without doing so first . If everything still doesn't work after that, try unplugging both accounts from their servers (both Autotask and Cliniko. for around 10 minutes before plugging them back in again (make sure you wait 10 minutes after unplugging them before plugging them back in or else they may lose their connection with their servers), wait for them both to reconnect with their servers (which usually takes around 30 seconds. before trying again .
